“First Time” AAFS Annual Meeting Attendee Guidelines

The AAFS Annual Meeting is a rather large event with a lot going on, and we want you to get the most out of this experience as possible. These guidelines will help to clue you in to some of what we think is really important. We look forward to seeing you all in Las Vegas!

  • AAFS Registration will be in the Rio All Suites Hotel in the Rotunda.
  • You will need to pick up registration materials as soon as you arrive.  AAFS Registration opens on Sunday, February 21st, at 1:00 p.m.  You will receive a bag containing the meeting Program, the Calendar of Events, and most importantly, your conference badge.  If you are invited to special events, such as receptions, this information will be in your packet.  Check all materials at the desk to ensure accuracy of your registration, especially for Special Functions (e.g., workshops, breakfasts, luncheons, and special sessions).
  • Review the errata sheet because there are last-minute changes for events, speakers, and times.
  • Review the Calendar of Events provided in your meeting bag.
  • Wear your registration badge when attending meeting events.  It is your “entry ticket” to functions and assists you in meeting others.  Friendly discussions occur when others notice your location or your field of expertise.
  • Your meeting registration allows you to attend Scientific Sessions and Posters Sessions on Wednesday through Saturday.  You may come and go from these sessions as desired; however, please be respectful of speakers as you do so.
  • You are encouraged to attend your Section Business Meeting on Wednesday afternoon and especially the AAFS Annual Business Meeting that follows.  Academy officers will be introduced, issues discussed, and votes taken.
  • The Academy Bash (Welcoming Reception) and AAFS 68th Annual Wine & Cheese Reception are open to all meeting registrants.  If you receive drink tickets in your packet, you may use these at either function.   Section receptions are open to members of that section only, except by invitation.
  • Exhibits are open to all registered attendees and are a great way to view new products on the market and to meet your sales representatives.  Book vendors often offer discounts for items purchased at the conference.  Some vendors may have the books shipped to your office.
  • Be sure to download any workshop materials as well as the eProceedings from your AAFSWeb Account, or the AAFS mobile app.
