Promotional Opportunities


 

The AAFS Annual meeting provides many marketing promotional opportunities for exhibitors seeking additional ways to increase their exposure at the event and maximize their show presence beyond the exhibit floor.  Increase your company’s presence by taking advantage of financial support opportunities.  Full or partial support opportunities are available.

  • 10% Discount on Meeting (Advance Program & Program) Advertising

Increase your booth traffic by advertising in the Advance Program and Program and save 10% off the non-exhibitor ad rates!  The Advance Program is distributed to all members, applicants, and other interested parties.  The Program is distributed to all meeting registrants.  Please see the appropriate Advertising Contract form under the forms link for requirements and ad rates.

  • Meeting Bag Insert

Does your company promote its products/services through preprinted material?  Each registered participant receives a meeting bag with a Program, Calendar of Events, and other general information. Take this opportunity to include an insert to make attendees aware of your product and to inform them of any special offers you may have available at your booth. Your one-page, 8 ½” x 11”, double-sided advertisement could be included!

Non-Exhibitors:  $1,500

One company flyer inserted in each attendee packet.  Maximum one double-sided 8 ½” x 11”. (Printing, delivery, and payment to be arranged by company.)

Exhibitors:  $1,250

Simply provide AAFS with a copy of your promotional flyer for pre-approval, along with the completed form (Meeting Bag Insert Request form), by January 12, 2018.  After approval, you will be required to provide 4,000 copies of your insert, as well as payment by credit card or check sent in a separate mailing by January 19, 2018 to:

  • Opening Day Sandwich Buffet or Morning Pastry Buffet Hosting Opportunities

AAFS (or a sponsoring exhibitor) will host an Opening Day Sandwich Buffet in the Exhibit Hall on Wednesday at 12:00 noon.  To encourage attendees to return to the exhibition on subsequent days for further exploration, a Pastry Buffet will be provided on Thursday and Friday.  The well-attended Thursday evening Annual Wine & Cheese Reception will also be held inside the exhibit hall from 6:00 p.m. to 8:00 p.m.

 

Local Printing Option

Would you like to save on printing and shipping costs? Do you need help designing your meeting bag insert?  American Printing & Copying can help!  AAFS has partnered with American Printing & Copying, to make available to our vendors a low-cost, worry-free printing option.  American Printing & Copying, an independent printing company located in Colorado Springs, CO, has been in business for over 29 years.  Worried about international shipping costs?  Is there not enough time to make the AAFS delivery deadline?  American Printing will print and deliver, at no additional cost, up to 4,000 meeting bag inserts to the AAFS office.

Simply:

  • Submit the Meeting Bag Insert Request form to Please check the box “American Printing will submit my sample insert for approval.” Complete the payment information section of the form to pay AAFS fees.
  • Contact American Printing for services at (719) 390-4282 or Design@AmericanPrintInc.com. Payment for these services are separate and are payable directly to American Printing.
  • Develop, finalize, and/or approve the proof.

American Printing & Copying will:

  • Forward your proof for AAFS.
  • Print and deliver your meeting bag inserts to the AAFS offices following AAFS approval.

Ten (10) Beverage Tickets:  $150

Your company may pre-purchase beverage tickets to distribute to meeting attendees.  Beverage tickets are valid at the Welcoming Reception (February 20, 2018) or the Annual Wine & Cheese Reception in the Exhibit Hall (February 22, 2018).  Tickets will be good for one (1) beverage (alcohol or non-alcohol) at the two (2) designated receptions.

  • Acknowledgement in the Advance Program if the agreement is made before printing.

  • Signage prominently displayed at the meeting during the event supported (if applicable).
  • Post-Registration Mailing List – Electronic copy of attendee list (name, organization, and country).
  • In addition to the general benefits, the supporters providing full support for select event(s) will be entitled to the following additional benefits (amounts listed represent full support):

  • Recognition as the Welcoming Reception Supporter at the entrance of the event venue.
  • Recognition as the Welcoming Reception Supporter at Registration or at the Exhibit Hall entrance.
  • One (1) premium exhibit booth (10’ x 10’) and 25% discount for additional exhibit booth rental.
  • Depending on the timing of the agreement, the exhibitor may participate in the exhibit site pre-launch booth selection. The pre-launch period will occur approximately two weeks prior to the launch of the booth selection site.
  • Opportunity to distribute flyers at the Welcoming Reception (must be pre-approved by AAFS).

Annual Wine & Cheese Reception Supporter (February 22, 2018)                                                                                           $25,000

Benefits:

  • Recognition as the Annual Wine & Cheese Reception Supporter at the entrance of the event venue.
  • Recognition as the Annual Wine & Cheese Reception Supporter at Registration or at the Exhibit Hall entrance.
  • One (1) premium exhibit booth (10’ x 10’) and 25% discount for additional exhibit booth rental.
  • Depending on the timing of the agreement, the Exhibitor may participate in the exhibit site pre-launch booth selection. The pre-launch period will occur approximately two weeks prior to the launch of the booth selection site.
  • Opportunity to distribute flyers at the Annual Wine & Cheese Reception (must be pre-approved by AAFS).

Cyber Café & WiFi Hotspot (February 18-23, 2018)                                                                                                                  $15,000

Benefits:

  • Acknowledgement with logo on the screen saver of computers to be used by attendees (company to provide screen saver on disk).
  • Recognition with signage as supporter at the Cyber Café.
  • One (1) standard exhibit booth (10’ x 10’).
  • Depending on the timing of the agreement, the exhibitor may participate in the exhibit site pre-launch booth selection. The pre-launch period will occur approximately two weeks prior to the launch of the booth selection site.

Gold Level Supporter                                                                                                                                                                     $10,000

Benefits:

  • Recognition as the Gold Level Supporter at Registration or at the Exhibit Hall entrance unit.
  • Recognition as the Gold Level Supporter on the AAFS Conference website, with a link to the corporate homepage.
  • Recognition as the Gold Level Supporter in the AAFS Program.
  • Recognition as the Gold Level Supporter at the Welcoming Reception.
  • One (1) Meeting Bag Insert (must be pre-approved by AAFS).

  • Up to 1,000 words detailing your company and its services and event promotions.
